VOLUNTEERS’ RESPONSIBILITIES
CANTEEN CONVENOR’S DUTIES
Attend each monthly meeting to provide a report of previous month.
Maintain a copy of all invoices and receipts to forward to treasurer for payment.
Co-ordinate volunteer roster to share duties with each team.
Order and maintain stock levels, oversee canteen customer service.
Be responsible for a float of money, passing on any takings to the treasurer.
Be aware of the Official’s Code of Conduct.
GROUNDSPERSON’S DUTIES
Co-ordinate with Senior Representative and President regarding the marking of the fields.
Ensure the fields are marked prior to the commencement of games.
REGISTRAR’S DUTIES
Compile a spreadsheet of all players and provide a copy for all committee members, following sign on.
Ensure that each coach/manager has a copy of their team and player information.
Maintain records and provide information as required for census and zone requests.
Be aware of the Official’s Code of Conduct
Attend monthly meetings.
PRESIDENT’S DUTIES
Be aware of the Official’s Code of Conduct.
Chair each monthly meeting. Organise for Vice-President to chair in your absence.
Maintain an understanding of the constitution, rules and responsibilities of a committee member.
Attend monthly meetings in Dalby, or organise a delegate to share this responsibility.
Monitor effective delivery of club activities.
Co-ordinate official functions of club with other committee members and in accordance with the wishes of the club.
VICE PRESIDENT’S DUTIES
Act in place of the chairperson in their absence.
Undertake tasks delegated by President.
Maintain good working knowledge of constitution, rules and responsibilities of committee members.
Be aware of the Official’s Code of Conduct.
TREASURER’S DUTIES
Attend monthly meetings to provide reconciliation report of previous months.
Be aware of the Official’s Code of Conduct.
Maintain records in a manner recommended by auditors, and as required by law.
Submit all records at the completion of the club financial year for audit, or as required by law.
Deposit all monies received each month, ensuring all money is receipted and accounted for.
Maintain good working knowledge of constitution, rules and responsibilities of Treasurer.
SECRETARY’S DUTIES
Attend each monthly meeting and record all minutes.
Book meeting room each month.
Type up minutes of meeting and email to all coaches/managers within the following week for them to distribute to parents. Ensure that the minutes are emailed to the website co-ordinator. Have minutes available at next meeting to sign off and then file.
Be aware of the Official’s Code of Conduct.
Type up agenda and send to website co-ordinator to enable all club members to be aware of upcoming issues.
Maintain records of all correspondence inwards and outwards and table same each month and / or forward on to relevant personnel.
Maintain good understanding of constitution, rules and responsibilities of Secretary.
WEBSITE / NEWSLETTER CO-ORDINATOR DUTIES
1. Type up each monthly newsletter and post on website.
2. Print out hard copies of newsletter, post in clubhouse and send to members without email facilities.
3. Update website weekly, with reports from coaches/managers, information, meetings,
newsletters, etc.

UNIFORM CO-ORDINATOR’S DUTIES
Attend each monthly meeting to give a report of previous month and to co-ordinate payment of accounts or requests for purchases.
Complete a stocktake at the end of the season, (following purchases and midway through the season at your discretion). Ensure that the information is given to secretary to include with information required for audit.
Maintain stock levels to ensure adequate supplies on hand at beginning of season.
Receipt all money received for uniform items and pass on the treasurer.
Be aware of the Official’s Code of Conduct.
REFEREE CO-ORDINATOR’S DUTIES
Attend each monthly committee meeting.
Liaise regularly with Dalby Referee Co-ordinator regarding referee issues and referee training and development.
Co-ordinate roster of referees for home games (Junior, Senior and Ladies) and carnivals as required. Maintain records as required for Football Dalby, SouthWest Zone and Football Toowoomba.
Provide mentoring (or co-ordinate additional mentoring) for all referees, ensuring your availability for all home games. Co-ordinate replacement if unable to attend games to perform mentoring role.
Compile reports of incidents and forward on to President and Dalby United Soccer as required.
Be aware of the Official’s Code of Conduct.
Ensure Blue Card current.
Maintain register of all current referees’ Blue Card details.
COACHING CO-ORDINATOR’S DUTIES
Attend each monthly committee meeting.
Co-ordinate regularly with Regional Director of Coaching to ensure regular coach and player education and development occurs throughout the season.
Co-ordinate and maintain records of equipment borrowed by coaches and managers such as DVD’s, CD-ROMs and Books.
Organise coaching kits at commencement of the season, maintaining records of each team’s equipment (ie: jerseys, number of balls, cones, bibs, etc). Record their return at the end of the season.

Ensure Blue Card is current.
Maintain register of all current coaches’ Blue Card details.
Provide mentoring as required for all new coaches.
Assist with organisation of soccer clinics or carnivals as required.
SENIOR REPRESENTATIVES’ DUTIES (Mens)
Attend each monthly committee meeting. Organise for another person to attend should you be unable to attend.
Present all invoices to be paid and monies received from senior team to treasurer.
Provide a copy of the senior draw for the clubhouse noticeboard. Give a copy to members of the committee and website co-ordinator.
Be aware of the Official’s Code of Conduct.
Ensure Registrar has current details of all registered players at the commencement of the season.
SENIOR REPRESENTATIVES’ DUTIES (Ladies)
Attend each monthly committee meeting. Organise for another person to attend should you be unable to attend.
Present all invoices to be paid and monies received from senior team to treasurer.
Provide a copy of the Ladies’ draw for the clubhouse noticeboard. Give a copy to members of the committee and website co-ordinator.
Be aware of the Official’s Code of Conduct.
Ensure Registrar has current details of all registered players at the commencement of the season.
MANAGER’S DUTIES
Roster parents when your team is on canteen duty or ground set up (check draw to see when your team is first or last on your field).
Organise parent roster of who is to bring oranges when playing in Dalby.
Organise parent roster to launder playing shirts.
Pick up any messages from clubhouse on Thursday / as posted on the website and share with all parents on team.
Find out from all parents on Thursday who is able to play and give numbers to coach.
Fill in team sheet prior to the game and give to referee prior to start of match.
Co-ordinate with the coach who will represent the team at the monthly committee meeting.

Attend the monthly general meeting if coach unable to attend.
Ensure Blue Card current and information given to Coaching Co-ordinator prior to commencement of the season.
COACH’S DUTIES
Establish the day and time you will be coaching and communicate this in writing to all parents.
Ensure that there is a replacement available should you be unable to attend a training session.
Be aware of the Coach’s Code of Conduct
Co-ordinate with the manager who will represent the team at the monthly committee meeting. Should both the coach and manager be unable to attend, organise a parent from the team.
Attend education/training sessions as made available during season.
Ensure Blue Card current and information given to Coaching Co-ordinator prior to commencement of the season.
